The Warehouse Officer is a position based in Baleo Feli in the Wa West District of the Upper West Region. The position reports to the Field Supervisor. The Warehouse Officer supervises daily activities of warehouse operations to ensure safe and efficient receiving and issuing of stock as per company’s standards.


In addition, the Warehouse Officer is responsible for developing plans to monitor stock utilisation levels, managing warehouse facility, reviewing capacity, operational quality and efficiency of warehouse and its layout. She/He must use analytical and logical skills to analyse feasibility of plans, implement them effectively and find solutions to arising issues. He/she is responsible for the safe keeping and care of company’s and cooperative’s resources and assets assigned to his/her care.

Operations:

  1. Conduct daily warehouse management operations according to the company’s standard operating procedures (SOP).

  2. Conduct daily meetings with relevant processing team and warehouse help.

  3. Conduct daily spot checks to ensure adherence to warehouse rules and procedures according to SOP.

  4. Coordinate inbound, storage and outbound activities of shipments in a timely, safe and efficient manner, and according to SOP.

  5. Ensure correct stacking and storage of products.

  6. Perform weekly stock counts and conduct gap analyses.

  7. Issue appropriate warehouse documents (goods receipt notes, dispatch notes, tally sheets, etc.) and keep records according to SOP.

Safety:

  1. Ensure that all warehouse procedures are adhered to for safekeeping of company’s goods and equipment.

  2. Ensure that all warehouse procedures are adhered to for safe working conditions and practices within the warehouse and compound.

  3. Ensure security procedures are always adhered to in the warehouse according to SOP.

  4. Perform daily checks for compliance.

Documentation:

  1. Ensure that warehouse activities are timely and accurately recorded and documentation is properly kept.

  2. Sign all stock tally sheets and other appropriate warehouse documents according to SOP.

  3. Maintain a catalog of all items with accurate description (category of goods, volumes, weights, descriptions, and source).

Traceability:

  1. Ensure that goods are stored in the warehouse according to accurate source traceability (codes). The Warehouse Officer must know exactly the origin and trace of goods that are processed and complete tally sheet every time goods are issued to the processor.

Reporting:

  1. Provide reports according to SOP and upon request by Field Supervisor, Commodity & Quality Manager or other key staff.

  2. Process receiving, discrepancy, and damage reports as needed.

Personnel:

  1. Supervise casual staff in the warehouse to ensure proper operations and maintenance of the warehouse.

Any Other Duties:

  1. Maintain cleanliness in the warehouse.

  2. Carry out all delegated tasks from the warehouse supervisor. 20. Evaluate complaints received on shipments of equipment and stock, and take appropriate action.

  3. Perform any other duties as may be required by the Field Supervisor, Commodity & Quality Manager or other key staff.



  1. Experienced in warehouse and inventory management.

  2. Experienced in shea industry.

  3. Proficient in Microsoft Office programs.

  4. Proactive, organized and flexible.

  5. Strong analytical & problem-solving skills and attention to details.

  1. Bachelor’s degree or professional degree in either Logistics or Supply Chain management.

  2. Minimum of 3 years of relevant experience.
